- The task follows roughly the same steps every time
- The output is text, a summary, a draft, or a structured list
- I could explain how to do it to a new hire in under 5 minutes
- Getting it 80% right with AI and editing is faster than doing it from scratch
Fewer than 4 checked? Might not be worth systemizing yet. Handle it manually for now.
Step 2: Slot it into your week
You don't need an AI strategy. You need five small habits, one per day. Here's a starting structure — adapt the tasks to your role.
Monday
Planning & triage

- —Compare options on anything you're still deciding between

Wrap-up & systemize
- —Summarize the week's wins/misses in 5 bullet points
- —Turn any task you did 3+ times this week into a reusable prompt
- —Note one thing to automate next week

Every Friday, ask yourself: what did I do more than twice this week that followed the same steps? That's your next candidate for a reusable prompt.
